Privacy policy
How we handle your personal information.
This privacy policy explains how Chi Club (karate.qa) collects, uses and shares your personal information when you use https://www.karate.qa, book a free trial class or respond to our advertising.
Information we collect
When you book a free trial class on our booking form, we collect: first and last name, email address, mobile/WhatsApp number, date of birth, gender, parent or guardian name (for students under 18), the branch and class you choose, your preferred trial date, previous karate experience, how you heard about us, and your answer to our photo and video consent question.
The form also lets you tell us about medical conditions or allergies. This is optional. We use it only so the instructor can keep the student safe in class, and we do not use it for marketing.
When a student enrols, we also collect emergency contact and payment details. If you contact us on WhatsApp, by phone or by email, we receive what you send us; WhatsApp messages are also handled under WhatsApp's own privacy policy.
How the booking form works
The booking form on karate.qa is provided by DojoExpert, the membership system we use to manage trial bookings, students and classes. Your booking is stored in our DojoExpert account. When you book, we receive an email notification and you receive a confirmation email.
Cookies, analytics and advertising
We use Google Analytics to understand how visitors use the website, for example which pages they view and whether they tap our booking, WhatsApp or phone buttons. We use Google Ads tags to measure how many people contact us after seeing our ads. These tools use cookies and collect usage data such as your IP address, device and browser type and the pages you visit. We do not send your name, phone number, email or booking answers to Google Analytics.
You can block or delete cookies in your browser settings, control ad personalisation in your Google account, and opt out of Google Analytics with Google's browser add-on.
How we use your information
We use your information to arrange your free trial class, answer your questions, manage bookings and memberships, keep students safe, tell you about classes, gradings and events, and improve the website.
Photos and videos
We only use photos or videos of a student in our promotion when consent has been given on the booking form or in writing. You can withdraw consent at any time by contacting us.
Sharing your information
We do not sell your personal information. We share it only with service providers that help us run the club and the website, such as DojoExpert, Google and WhatsApp, or when the law requires it.
Your rights
You can ask us to show you the personal information we hold about you, correct it, delete it, or stop using it.
Children's privacy
For students under 18, the booking form is completed by a parent or guardian, who provides the child's details. The website itself is not intended for children under 13.
Changes to this policy
We may update this policy from time to time and will post the new version on this page. Last updated 26 October 2026.
